    Saloon Order Entry Application
    (for TouchPRO)

Last updated: Monday December 15, 2003 08:17 AM

The Saloon order entry template is an order entry software program designed for low volume saloon/tavern operations. It is designed primarily to run on a standalone computer with local receipt printer and optional kitchen printer. Unique features include pulltab tracking and on-the-fly beer inventory levels.

            * Manager – Brings up a passcode window. Successful entry of the passcode takes user to the Manager Functions page.
            * Split Check – Uses the Separate Seats screen to allow the user to move items as needed. It then splits the check by seat, prints a guestcheck for each one, and takes the user back to the log-on screen. The first check contains the cover count.
            * Print Check – Same as Store Check, except that it also prints a guestcheck.
            * 3 Negative Misc Keys – Labelled Coupon, – Food, and – Liqr, they use the 10 key pad amount and subtract from the order. Food and Liquor are broken out both for reporting purposes and to allow for different tax adjustments.
            * 2 Positive Misc Keys – Labelled + Food, and + Liqr, they use the 10 key pad amount and add to the order. Food and Liquor are broken out both for reporting purposes and to allow for different taxing options.
            * Cancel Media – Allows cancelling of individual media entries.
            * 4 Media options -Applies 10 key amount to selected media, then displays change screen with ability to select guestcheck printing. User is then taken to log-on screen.

            * Voids – Takes the user to a Void control page where they can recall checks and void highlighted items from the check, or void all items. When the user exits this control page a Void receipt will be printed on the local printer if any voids have taken place. This button works in conjunction with the VoidRp plugin.

    Print Templates/Printers and Printing Functions
The template is pre-styled with the following templates:

            * Guest Check – the guest check will print 4 user defined constants on top, 4 on the bottom. It will print categories 0 – 8 first with a line separating category 9 which is designed to be used for coupons and misc sales.
            * Void Receipt – upon performing a void, a void receipt will be printed to the local printer.
            * Overring Receipt – upon performing an overring, an overring receipt will be printed to the local printer.

    Special Features

    Pulltabs
Selection of any of the pulltab items brings up a pulltab window allowing the user to perform one of several functions for that game.

            * Cash-In Sales – This is the most common transaction and involves sale of pulltabs. 4 pre-set amount buttons are provided in addition to a 10 key pad for misc. entry. It can be rung as part of a larger order but is most commonly sold as is. The PLU is Set as Printed to prevent normal cancellation of the item. Error checking is performed on the amount to verify that it is a multiple of the individual ticket price and not more than the dollar value of the remaining tickets.
            * Cash-Out Sales – This represents a redemption of a winning ticket. It opens a window allowing entry of the amount to cash-out. It can be rung as part of a larger order but is most commonly rung up by itself. The PLU is Set as Printed to prevent normal cancellation of the item. A guest check prints automatically.
            * Cash-In Void – Used only to correct errors when ringing Cash-In sales. Other than ringing up as a negative price, it functions identically to Cash-In sales.
            * View Statistics – Uses List-it to display the statistics for that game. If the bottom of the viewing area is touched prior to exit, a chain is initiated to handle pulling the game and starting a new one. Pulling the game involves printing a game report, resetting the data, then providing input screens for entering information about the new game. Since pulling a game is a manager only function, the passcode window is opened, requiring entry of Passcode #1 prior to proceeding with the pull. Statistics include the following:

                * Game # = PLU number
                * Game ID = State Gaming Commission game number
                * Tabs Ea = Single ticket price
                * Total Tabs = Number of tabs in game
                * Remaining Tabs = Number of tabs not yet sold
                * Total Game Cost = Total Tabs X Tabs Ea
                * Total $ In = Dollars of tabs sold
                * Tabs Sold = Quantity of tabs sold
                * Total $ Out = Dollars of winning tabs redeemed
                * Win Tabs = Quantity of winning tabs redeemed
                * Current Balance = Total $ In – Total $ Out
                * Pull Game At = Recommended dollar profit to pull game at

            * All Done – Returns user to menu section with pulltab screen displayed.

    Beer/Liquor Inventory
The saloon application maintains a current inventory count for bottle, can, and draft beers, and well liquors using inventory units of bottles, cans, and ounces, respectively. Microbrews are not inventoried. This feature is not designed to provide inventory control as Basic Inventory does, but to simplify the operation of the bartender in monitoring inventory levels of their high usage items, and saving trips to the cooler to see if individual beers are available.

Whenever a beer/liquor inventory item is sold, the inventory count is adjusted and the new count is displayed for that item at the top of the screen. To perform an inquiry of an item without actually selling it, the user simply rings up the item, then immediately pushes the Cancel button in the margin. New inventory counts can be entered by the manager from the Manager’s Functions page.

Beer/liquor inventory items are defined by their menu group, so if the PLU appears on the bottle, can, or draft pages, the beer/liquor inventory rules will apply for that PLU.

Draft beers and well liquors deduct the amount specified in the Set Ounces feature on the Manager’s Functions page. If this amount is set to zero, it effectively disables the inventory feature. Bottles and cans always deduct one and cannot be turned off, and must be styled into a different page to bypass the inventory feature.

Note for draft beer: The PLU numbers for the five sizes of each type of draft beer must be consecutive. Beer inventory for draft actually associates the inventory count with the smallest size. All other sizes subtract from their PLU number to determine which PLU’s inventory count to use.
EXAMPLE: If 1/2 pounder Rainier is PLU 800, then pounder Rainier must be 801, pitcher Rainier must be 802, pony keg must be 803, and full keg must be 804.

    Revisions

    06/19/98 Version 6.00

      1. Initial Release.

    07/24/98 Version 6.01

      1. Added inventory tracking to well liquors.
      2. Removed mixed drinks and recipe pages. Spare pages are now available in those locations.
      3. Corrected problem where staydown button didn’t match menu group displayed. This usually occurred after pressing Quick Close.
      4. Changed Draft page to default to Pounder when initially brought up.
      5. All checks will now close to employee 9999.
      6. X and Z reports will automatically print for employee 9999.
      7. Added X and Z report buttons to Manager Functions page. If the customer disables these buttons on the Tender page they now become manager only functions.
      8. All pages displaying inventories will now use the alternate description for the name. If no alternate description exists for that customer, the regular description will be used. This will allow the pages showing inventory to show the inventoried item without necessarily including the size.
      9. Resized some Managers Functions Beer Inventory windows to assure that underlying windows were completely covered.
      10. The Ounce Conversion Factor window will now show the beer size currently being entered.
      11. Beer Inventory windows now have an Exit button to allow the user to exit the function without changing the current value.
      12. The Quick Close and Recall Check buttons will now print to the Kitchen printer.
      13. The Hold Check button has been renamed Store Check to be consistent with our other programs.
      14. The Store Check button will now set items as printed.
      15. The Modifier Group values for food modifiers has been corrected in the product database to display on the correct food modifier pages.
      16. The Log-on New User button has been replaced with the Cancel Order button.
      17. On the bottom of the menu pages, the Manager button has reversed position with the Employee Name display.
      18. Corrected problem where inventory amount could be deducted twice in some cases where the subsequent item ordered was out of stock.
      19. Added an error window to inform the user when they are trying to perform managers functions that cannot be done in the middle of the order.
      20. Added department for pulltabs for reporting of net pulltab sales.
      21. Removed Quantity button from Pulltab page as it doesn’t work with pulltabs anyhow.
